Case Study: The Virtual Hotel
by Andreas Sfyridis, Photographer
The hotel group XENIOS GATE commissioned me to photograph their fourth hotel, located in Thassos. The unique aspect of this project was that construction had not even begun at the time of the assignment. The only available materials were architectural drawings and photo-realistic renderings—nothing else.
To launch the advertising campaign and drive sales, the marketing department urgently needed visual content for promotional use until the hotel was completed and a full photo shoot could take place. At that point, no material existed for the hotel’s marketing efforts.
I immediately began gathering information to better understand the challenges of the project and develop a more comprehensive strategy. Working closely with the general manager, Mr. George Valsamidis, and his marketing team, we held several meetings where I presented ideas for the photographic concept, themes, style, and aesthetics. This collaborative process led to the creation of a list of all available data and materials that I could creatively use for the photo shoot.
The list
- Understanding the location and layout of the upcoming accommodation
- Aesthetic style and concept of the architectural design
- Aesthetic style and concept of room decor
- Target guest demographic for the accommodation
- Available facilities and activities
- Unique experiential offerings
- Room decor and hotel furnishings
- Technical support and resources
This list enabled me to create a series of highly focused shots that effectively captured the atmosphere, as well as the unique, personalized experiences offered by the activities and facilities.
The Concept
My concept was grounded in the idea that guests tend to remember their experiential moments far more vividly than the accommodation itself. This inspired the creation of the Virtual Hotel concept.
The goal of my narrative was not to provide a literal, real-time depiction of the hotel (as if it were already operational), but rather to focus on showcasing a specific location, such as its beach, while emphasizing the immersive experiences that guests would have. These included both activities like Scuba Diving and Sailing, as well as the in-room experiences guests could expect during their stay.
During the Pre-Production Meeting (PPM), the marketing department approved my proposed action plan, allowing me to proceed with the production of the project.
Action Plan
- Creation of mood boards to define the visual direction of the photography project
- Casting of actors to bring the experiential moments to life
- Selection of locations for activities and experiences
- Choice of setups and mise-en-scène locations to enhance the narrative
- Selection of key room furniture, decorations, props, and available equipment from vendors
The Execution
A project of this nature demands the expertise of skilled professionals who, with their experience and knowledge, can minimize or even eliminate the risk of failure. To ensure the success of this endeavor, I carefully selected the best talent to form my team, which included:
- Photographer
- Assistant Photographer
- Prop Stylist
- Assistant Prop Stylist
- Assistant Prop Stylist
- Assistant Fashion Stylist
- Makeup & Hair Stylist
With the technical support provided by the hotel’s maintenance team, we set up the sets in the locations I had selected. The supplier had already delivered all the necessary equipment for both the beach and room shots.ν τα σκηνικά στα σημεία που είχα επιλέξει. Ο προμηθευτής είχε ήδη παραδώσει όλο των εξοπλισμό που είχαμε ζητήσει τόσο για τα πλάνα στην παραλία, όσο και για τα πλάνα του δωματίου.
The Shoot
The shoot was divided into three phases, each executed with precision and consistency, adhering closely to the mood boards and setups I had carefully designed and organized.
Part A: Beach
This segment focused on showcasing the unique experiences and amenities available to guests, such as Scuba Diving. The shots alternated between dynamic, interactive moments and stunning landscape imagery, incorporating specific color palettes to enhance the mood. Other images highlighted the family-friendly atmosphere, capturing moments of relaxation and rest, while also showcasing the transformation of light during the golden hour to emphasize the changing colors of the environment.
Part B: Room Setting
The room setup I created was designed to evoke how the space will look and how guests will experience the unique offerings of the hotel. The interplay between the theatrical set and the room’s atmosphere played a crucial role in shaping the images with the characters. I purposefully shot throughout the day to capture the room’s colors and style, enhancing the overall ambiance.
The space maintained a theatrical quality, as my goal was not to faithfully recreate the pilot room but to convey a sense of it being a “multi-star” hotel room still under construction. The intention was for viewers to recognize that the room was a carefully staged, imaginative portrayal—offering a glimpse of the future guest experience while emphasizing the room’s evolving nature.
Part C’ – Pilot Room
The Pilot Room was photographed at a later stage, in the furniture production areas of the factory that supplies the hotel’s furnishings. This location was selected as the most suitable for the shoot, primarily due to the extensive technical support available on-site. The shots provide an accurate representation of the type of rooms that will be available at the hotel.
I approached the photography of this room as if it were a fully operational space, using the same techniques and processes I typically apply to similar shoots. The realistic quality of the images comes from actual landscape photography, which was seamlessly integrated into the frames during the digital editing process.

Epilogue
Once the photo shoot material was delivered, the hotel’s marketing and sales department began using the images for their promotional campaigns. The images met all the requirements and played a key role in driving the campaigns forward. As a result, bookings and occupancy rates exceeded the targets set, and sales proceeded smoothly without any issues. The feedback and satisfaction from visitors were a clear reflection of the project’s success, and the experience I gained throughout the process proved invaluable.
